# **How to Follow Up With a Recruiter: Timing, Channel, and the Right Words**

No response after applying? Here's when to follow up, which channel to use, and three ready-to-send message templates.

You sent your application. You're waiting. Your inbox is stubbornly empty and one question keeps nagging at you: **should you follow up, or wait just a little longer?**

The answer is yes — follow up. Not to harass anyone, but because recruiters are human and manage dozens of processes at once. Your resume might have slipped between two files. A short, professional check-in simply signals your motivation and is almost always well received.

To nail your follow-up, there are three golden rules: **the right timing, the right channel, and the right words.**

## ⏱️ 1. The Right Timing

No room for guesswork. Here's the ideal schedule to make an impression without crossing into "persistent candidate" territory.

### After submitting an online application (no prior contact)

- **Between day 7 and day 10 (business days):** This is the perfect window for a first follow-up. Earlier and you come across as impatient. Later and the opportunity might slip right past you.
- **At day 14 (business days):** Still no response to your first nudge? One final follow-up is acceptable. After that, move on.

### After an interview (phone or in-person)

- **Within 24 hours:** Send a thank-you email. This isn't a follow-up — it's a mark of professionalism that reinforces your interest.
- **5 days past the stated deadline:** If the recruiter said they'd get back to you within two weeks and that window has passed, following up is completely legitimate. It's even expected.

> 💡 **Pro tip:** Always note the date of each interaction. Without a proper tracking system, you risk following up too early (which annoys) or too late (which costs you).
## 📬 2. The Right Channel

### Email: your go-to option

It's the most professional channel. It leaves a paper trail and lets the recruiter respond when they're available.

- _The reflex to build:_ Reply directly in the thread from your original exchange to instantly refresh their memory.

### LinkedIn: for two specific cases

Use [LinkedIn](https://jobtae.com/blog/optimize-linkedin-profile) only if you already started the conversation there, or if it was an unsolicited application and you don't have a direct email address. Don't go hunting for the recruiter's profile to message them if you already have their email — it can feel intrusive.

### Phone: the exception

**Never** call without being explicitly invited to. An unsolicited phone follow-up catches the recruiter off guard and creates an awkward situation.

## 📝 3. The Right Words (3 Ready-to-Use Templates)

Get to the point. A recruiter doesn't have time to read a novel.

### Template 1: Following up on an online application

> **Subject:** Application for Job Title — Follow-Up
>
> Hi First Name,
>
> I'm reaching out to follow up on my application for the Job Title role, submitted on Date.
>
> Company Name's work resonates strongly with my background, and I wanted to reiterate my genuine interest in this opportunity. I'm happy to share any additional information about my profile at your convenience.
>
> Have a great day,
>
> Your first name
### Template 2: Thank-you note after an interview

> **Subject:** Following Our Conversation — Job Title
>
> Hi First Name,
>
> Thank you for our exchange on Day. Our conversation confirmed my interest in the role and gave me a clear picture of the team's challenges.
>
> Don't hesitate to reach out if you need anything else before we're next in touch.
>
> Best regards,
>
> Your first name
### Template 3: Following up after an interview with no news

> **Subject:** Update on My Application — Job Title
>
> Hi First Name,
>
> We spoke on Date about the Job Title role. You mentioned you'd be in touch around Stated Deadline, so I wanted to check in.
>
> Has the process been able to move forward on your end?
>
> Thank you in advance, and have a wonderful day.
>
> Your first name
## ❌ The 4 Pitfalls to Avoid at All Costs

1. **Harassment:** Two unanswered follow-ups send a message on their own. Beyond that, you're burning bridges — including for future opportunities.
2. **The wall of text:** Your follow-up should be five lines or fewer. This is not the moment to rewrite your cover letter.
3. **Passive-aggressive frustration:** Avoid openers like "Since I haven't heard from you..." — they put the recruiter on the defensive. Always stay factual and positive.
4. **The multi-channel blitz:** Emailing, messaging on LinkedIn, and calling on the same day is the fastest way to come across as overwhelming. Pick one channel and wait.

## 🛠️ Stay in Control of Your Job Search

If most candidates follow up at the wrong time — or forget to do it at all — it's because they lack organization. With dozens of applications in flight, it's hard to remember who said what, and when.

That's exactly why we built the **Jobtae Kanban view**. Every application gets its own visual card where you log the status, key dates, and recruiter feedback. At a glance, you know exactly who to follow up with today — no inbox archaeology needed.

Pair that organization with a [targeted resume](https://jobtae.com/blog/tailored-resume), [structured interview answers](https://jobtae.com/blog/star-method-interview), the [right questions to ask your recruiter](https://jobtae.com/blog/interview-questions), and a healthy dose of responsiveness, and you'll turn a stressful job search into a process you fully own.

### 📌 In Summary

- **First follow-up:** Day 7–10 (business days) after applying, or within 24 hours after an interview.
- **Second follow-up:** Day 14 (business days), then move on.
- **The format:** Short, courteous, through a single channel (email first).
